Analysis and Selection of a Software Solution for Managing Technical Documentation of Medical Devices: The Medical Concept Lab Case Study

A new scenario in the sector of medical devices has emerged with the introduction of the new European Regulations. As consequence, the regulatory framework increased in complexity underlying the need for enterprises to enhance their regulatory competence. Palex Italia, a leading company in the distribution of medical devices, during the transition period from European Directives to European Regulations faced a phase of growth through the acquisition of new realities. The doble-edged sword of this expansion is that, while on one side the company increases significantly its competitiveness in the market covering different clinical areas, on the other side it significantly increased the complexity of managing technical documentation resulting in the need of a robust management system able to manage in an efficient way a high quantity of technical documentation, with focus on the documentation subjected to deadlines. The present thesis work aims to pose the basis for the identification of a software for managing technical documentation in an efficient way with the plus to provide also the centralization of all the companies under the same management system. The evaluation started from the analysis of an existing database from one of the companies acquired, Medical Concept Lab and it was carried out from both qualitative and quantitative perspectives. As result, a comparative validation against a gold standard has been conducted using a weighted score system providing a comprehensive overview of how well the in-house database evaluated met the expected requirements for the selection of the optimal document management system.

Con l'introduzione dei nuovi regolamenti europei è emerso un nuovo scenario nel settore dei dispositivi medici. Di conseguenza, il quadro normativo è diventato più complesso e le imprese hanno dovuto rafforzare le proprie competenze normative. Palex Italia, azienda leader nella distribuzione di dispositivi medici, nel periodo di transizione dalle Direttive europee ai Regolamenti europei ha affrontato una fase di crescita attraverso l'acquisizione di nuove realtà. L'arma a doppio taglio di questa espansione è che, se da un lato l'azienda aumenta in modo significativo la propria competitività sul mercato coprendo diverse aree cliniche, dall'altro aumenta in modo significativo la complessità della gestione della documentazione tecnica con la conseguente necessità di un sistema di gestione robusto in grado di gestire in modo efficiente un'elevata quantità di documentazione tecnica, con particolare attenzione alla documentazione soggetta a scadenze. Il presente lavoro di tesi si propone di porre le basi per l'individuazione di un software per la gestione della documentazione tecnica in modo efficiente con il vantaggio di prevedere anche la centralizzazione di tutte le aziende sotto lo stesso sistema di gestione. La valutazione è partita dall'analisi di un database esistente presso una delle aziende acquisite, Medical Concept Lab, ed è stata condotta sia da un punto di vista qualitativo che quantitativo. Di conseguenza, è stata condotta una validazione comparativa rispetto a un gold standard utilizzando un sistema di punteggio ponderato che ha fornito un quadro completo rispetto a quanto il database realizzato in-house è in grado di soddisfare i requisiti richiesti per la selezione del sistema di gestione documentale ottimale.
